Shipping your pole vault poles has never been easier. If you've shipped in the past, chances are you've talked to a representative who's never even heard of the event before. Every time you ship, you go through the same process again of explaining what it is you want to ship and providing all of your information again. It's time to start shipping smart with a company that cares about your time and safely transporting your poles.
We have recently finished a client log-in area that will give you more control and visibility of your shipments and history. If you haven't done so already, please visit Fly-Away Poles and click "Register for an account". You will then be prompted to enter your name/business name, contact information and address.
Once logged in, you can click on the "My Account" tab to edit any of your contact information or change your password. From this tab, you will also see a sub-tab called "Pole Bags/Tubes". If you are shipping personal poles to/from competitions, etc, chances are you will be shipping the same tube with the same or similar poles. This might be a 16' standard corrugated tubing that weighs in around 50lbs. You would enter the tube information along with a description (i.e. Men's Blue UCS Bag) and then click on "Add Pole Tube". This will make this tube available when creating a new shipment.
The "Pole Inventory" will store the weight, length, flex and make of each pole in your inventory". We obtain this information as our insurance policy requires us to know the exact value of each and every shipment we handle.
The "Addresses" tab is where you will store your list of "ship to" addresses. You will need to add your "home" address to this list and check the box for "make this my default address". If you aren't sure of your delivery address (and it's going to a college/university), please let us know as there's a good chance we have the information on file
Once you've added your pole bag/tube and addresses, you're ready to submit a shipping request. Click on the "Shipments" tab and then "New Shipment".
Select your desired pickup and drop-off dates
Select your pickup and destination addresses (if either of these addresses are a residence, or you would like to know the possibility of dropping off or picking up at a service station, please make a note in the special instructions)
Select your product (bag/tube that you previously entered), enter the number (most will be 1) and the contents (pole vault poles and/or javelins. If you have multiple bags/tubes of different dimensions, you will select more than one "product".
Click "Request Quote"
We will receive notification of your request and update the request with the rate, transit time and other additional details. When a quote request is ready for your viewing, you will receive an email notification (sent to the email address listed in your contact information). You will need to log in to view this information. To move forward, you will simply select "Accept Shipment" from the drop-down menu. We will then prepare the required shipping document (Click here to view example Bill of Lading.). When this information is ready for you to download, you will receive another notification letting you know that the shipping document is ready for download, along with other information (including the invoice).
For pickup, you'll simply need to have the provided shipping document with your poles and your contact information listed on the bag/tube (you can never have too much identification when shipping poles).
INTERNATIONAL SHIPPING
Due to the significant demand/request for international shipping, Fly-Away Pole Protection now offers a full line of international shipping including both US exports and imports, along with shipments originating and delivering to locations outside of the US.
Please note that we are unable to guarantee delivery dates for international shipments. We can provide you with strong estimates, but the process of clearing customs in every country is different and therefore a variable in international shipping.
Our international shipping rates includes the total shipping charges (including pickup and delivery) and insurance coverage. They do NOT include any duties/taxes/customs fees that may be applicable. For temporary imports, we make every effort to complete the required documentation in such a way as to avoid any duties/taxes, but are unable to guarantee they will not be charged
Insurance coverage for international shipments comes through an alternate providor, thus the timeline for processing claims may be longer than with a domestic shipment.
For exports from the US, we will provide you with all required documentation and instruction. For imports into the US or shipments between countries outside of the US, you may be responsible for scheduling the pickup per the instructions provided by FPP.
PACKAGING YOUR POLES FOR SHIPMENT
Prior to shipping you're poles, it's imperative that your poles are packed properly. Be aware that if certain protocols aren't followed, you may be waiving your full insurance coverage. Here are a few simple rules to follow when preparing your poles for shipment:
Your poles must be fully enclosed in a hard case! This includes solid end caps! A vinyl pole bag is not considered a hard case! This means the ends of the poles CANNOT be longer than the tube! The most common pole bag is created by purchasing a piece of double-walled corrugated tubing (called ADS N-12 pipe/tube - a few inches longer than your longest pole) with 2 end caps (separate pieces that snap on both ends to fully enclose the poles) at your local tractor supply or plumbing store (and inserting it inside of one of the custom vinyl pole vault pole bags). Poles also transport well inside of their original OEM individual cardboard tubing. We do NOT recommend shipping your poles in large PVC tubes as this adds significant weight to the shipment and we belive PVC is more likely to crack or shatter if it's dropped from any height. NOTE: Poles simply placed inside of a vinyl pole bag or other non-protective case, or not fully-enclosed in a protective case with end-caps, will not be covered by our insurance.
If you're only shipping a few poles and there's extra space inside of your tube, please use a towel or rag/shirt to fill the empty space and prevent the poles from moving around inside of the tube in transit. You can also tape the poles together using athletic tape to prevent them from hitting against each other.
Even if your pole bag is full, placing a towel inside of the end cap can provide additional protection as the ends of the bag tend to be the most vulnerable in shipping.
Once your poles are in the tube and the end cap of your bag has been put on (assuming you have one), we strongly recommend using athletic tape to tape down the end cap and any loose straps that may be hanging as you don't want them to snag and tear in transit!
Please make sure your contact information is clearly written or labeled on your bag/tube. There have been rare instances where shipping documents have been torn off of the bags/tubes. If you take an extra minute to mark your bag/tube, it makes it easily identifiable should and shipping documents or labels accidently come off in transit.
We cannot be liable for any tears or blemishes that may happen to your pole bag in transit. We utilize freight companies for shipping and your poles will travel in trucks and planes. Some of our clients choose to ship their poles just in the corrugated tubing with end caps and no vinyl bag. If you're concerned about your bag getting dirty, then this is probably the way to go!
All it takes is a little time and common sense in preparing your poles for shipment. If you wouldn't be comfortable dropping your packed pole bag from 1' (we're not asking you to do that, but hopefully you get the idea) without worrying about something breaking, it probably needs to be packaged better. You're poles can never be packaged too well.
Below are images of the construction of a tube to transport/ship your poles. This example shows a 4" tube being created from two 10' sections of tube (cut down to about 16' 6"). You can see that four 5m poles can easily fit inside of a 4" tubing (with the plugs removed). These tubes also come in diameters up to 12" wide. It's best to make a tube that's most practical for your needs. If you typically travel with 5-8 poles, then the standard 7.5" diameter is probably the best for you.
These tubes and end caps can be purchased at your local home improvement center or plumbing supply store typically for between $20-$40. A minor investment to protect thousands in poles!
